Common Moving Mistakes & How to Avoid Them

After assisting dozens of clients with their office relocation needs, we’ve noticed a pattern. Between our most intensive tear-downs and our standard moves, we’ve noted similar problems that arise. Let’s break down the most common issues that you can avoid when planning for your office move.

1. Inadequate Planning

Obvious to most, office moves can sometimes take a village to accomplish. If you’re the team or individual assigned with organizing the relocation effort, start researching your plan of attack as soon as possible. The lists of tasks to complete is a long one, with twists and turns around every corner.

  • Reach out to office relocators for quotes
  • Build your committee consisting of individuals from each department
  • Start building your budget early
  • Find a move checklist that can help you stay on track with company-wide goals and specialized tasks for each department

When an office move is on the horizon, it’s time to bring the team together and assemble the best and brightest to make the move as smooth as possible. From our experience, the most successful relocations begin with an individual taking on the responsibility of organizing a transition team.

Usually, one or more individuals are chosen from each department to create a to-do list to prepare for the move. Creating a floor plan for the new office, gauging what their team needs in the new space, and what will be needed to protect their belongings in the move, to name a few of the tasks. This way, more than one person will be responsible for keeping the entire company on schedule and having all needs met in order to have the fewest disturbances to productivity.

We wanted to mention the IT department separately because we’ve noticed that their planning usually is a bit more intricate than other departments. When you begin planning your team meetings, get IT involved as soon as possible. They’re key for migrating and safely transporting systems to the new location. Don’t wait until the last minute to organize such a key department.

3. Failing to Budget

While it’s a given that your team will need to allocate funds for a commercial moving company and other common expenses, there are plenty of smaller expenses that get overlooked. From the cost of installing new security and communication systems to the cost of any downtime, costs can begin to pile up without proper planning.

The most common mistake in this field that we’ve seen is failing to properly budget for restoring the property to the condition outlined in the lease agreement. Be sure to get a number of quotes from multiple providers for relocation and restoration services, that way your team can make the right choice and avoid spending too much or too little during this process.

4. Not Assessing New Location

Are you downsizing or are you in need of a larger floorplan? Either way, you and your team need to evaaluate the new location to see what steps need to be taken before the move. For example:

  • Does the new building need new signage when you arrive?
  • Does your IT department have a full layout of the office to make sure they can have everything setup to reduce downtime?
  • Do you have a budget for new furniture that can fit in your new space?
  • Will you be taking your old furniture or will you be needing a liquidation company?

Don’t surprise your team with a bunch of ‘day-of’ decisions that can add undue stress to them and your budget.

Review, review, review. Remember to check your bank accounts, loans, bills, email signatures, insurance providers, government agencies (IRS, Franchise Tax Board, etc.). Most importantly, reach out to your clients to update their information with your new address. While tedious, the earlier you lock in the new location, start updating this information as soon as you can.
